The Medical Services and Staff Welfare department at AfDB provides holistic medical, occupational, and welfare services to nearly 10,000 staff, retirees, and their eligible family members.
This role involves administrative and secretarial support to ensure the smooth functioning of our medical services.
Key Functions
Under the supervision of the Country Manager, the Medical Secretary will:
- Register, organize, and appropriately classify patients and clients in the Bank’s Digitalized Health Management Information system.
- Receive, inform, and orient patients, ensuring they have been registered and had their vital signs taken by the nurses.
- Manage effective patient and client flow through an appropriate numbering system.
- Maintain hygiene, silence, and order at the Medical Center’s reception.
- Make and answer telephone calls, directing them to appropriate clinicians and staff.
- Act as the focal point for patients by booking and coordinating appointments and managing practitioner schedules.
- Organize internal meetings and ensure note-taking to produce general and medical reports.
- Use spreadsheets and word processing to manage administrative tasks related to medical records, reports, procurements, and office supplies orders.
- Assist staff members with recruitment, contract renewal, and annual medical check-ups.
Competencies
- Bachelor’s degree in Communications, Human Resources, or a related field.
- Minimum of four years of relevant experience as a medical secretary or in the medical field.
- Proof of citizenship or evidence of permanent residency or work authorization in the proposed country of employment.
- Strict adherence to medical confidentiality.
- Familiarity with medical terminology, procedures, and software systems.
- Ability to manage priorities and telephone calls efficiently.
- Self-motivated, welcoming, discreet, and empathetic towards patients.
- Good written and oral communication skills in French and/or English, with a working knowledge of the other language.
- Proficiency in IT tools such as MS Word, MS Excel, and competence in using Bank standard software. Knowledge of SAP is an added advantage.
